Online Entry
Why should I use online entry for my
event?
- More entries for your event.
The “Strike while the iron’s hot” principle. Your prospective entrants
are far more likely to enter your event if you make it easy for them.
If they are reading your website they are interested in your event
so let them enter it there and then. Almost everyone carries their
credit card with them. They are in the event within a couple of minutes.
Alternatively let them download an entry form, print it off, fill
it in, find the cheque book, write the cheque, find a stamp, find
a post box and remember to post it. If an entrant would prefer to
send a cheque rather than pay online, they can still enter online
and send a cheque through the post directly to you. All their entry
details will still be transferred automatically.
- Massive saving on time and effort.
Do you enjoy transferring entries from entry forms to a spreadsheet
or database? How good is most people’s handwriting? How easy is it
to make out those long and often embarrassing email addresses? How
many mistakes are made in the transfer of the information? And how
annoying are those undeliverable email messages because try as you
might you just can’t make out the address. Then of course you have
to phone or write to your entrant for clarification. There is none
of that with online entry. Once the online form has been submitted
their details are on your event database in an instant. This information
is then easily transferable to your by means of an excel spreadsheet.
Your entrant gets an automatically generated confirmation email.
- A more professional image for your
event. What do you want your entrants to think about
your event? “Wow that was slick and efficient” or “I suppose it is
a club event and perhaps they’ll come into the 21st Century
next year”.
- Added value for your entrants.
We have negotiated a discount with sports nutrition suppliers
which will mean that as a user of our site your event will be issued
a discount code giving your entrants a further 5% discount off their
already competitive prices.
Marvellous, but what does it all cost?
- It can cost you nothing.
There are 3 options;
- You absorb the cost of online entry into your overall entry
fee. This option should generate more entries because the whole
entry process is immediate, easy and costs your entrant nothing.
- You give your entrants the option of entering on paper at one
cost or entering online and paying an increased entry fee to cover
the cost
- You can split the cost in any proportion you wish between yourself
and the entrant.
You can allow your entrants to enter online and then send their
fee to you in the post, i.e. not use the online payment facility.
This will work with any of the above and is essential for people
who don't wish to use a credit card.
You can have online entry as an option, but keep your paper based
system as well.
- Credit card transactions work on a percentage basis, so our charges
have to work the same way. The basic formula is 5% of the entry fee
or £1 whichever is the greater. Therefore entry fees of £20 or less
will cost £1 and entry fees over £20 will cost 5% of the fee. If
online registration generates 5% more entries and you absorb the cost
in your entry fee it will cost you virtually nothing.
When an entry is received online and payment made by cheque there
is a 50p charge regardless of entry fee.
How does it work?
- You add an “enter online” link to your website which will take your
entrant directly to your page on our site. No complicated routing
via our general site and then searching for your event. From this
page they fill in your entry form and accept your entry conditions
and disclaimer. They then choose to pay online or send a cheque. If
they elect to pay by cheque their entry details will be added to your
race database. If they elect to pay online they will be taken to a
secure card processing site
where payment is made. No card details are handled by us. Their details
will be added to your race database. They are then entered in your
event and you have had to do nothing. Your entrant then has the choice
of saving their details on our site, password protected, for an even
simpler process for entering future events or simply leaving the site.
Once payment is made your entrant’s details will show on the list
of entrants available for all to see on the site.
- There will be no mass of flashing advertisements or complicated
logging on and registering process.
How do I get my entrants information
onto my computer?
- You will have administrator access to your event’s database on our
site. There you can set up your entry form with the information
you require for your event. From here you will be able to view all
of the details of your entrants. This information can then be downloaded
into a spreadsheet on your computer. You can then move it about and
sort it into whatever order you wish for use with your event. If you
mess it up or loose it there is no problem as you can simply download
it again from our server. If you don’t already have a preferred event
spreadsheet, you can download our triathlon specific spreadsheet formatted
with the aim of making triathlon administration as simple as possible.
This spreadsheet is easily adaptable to suit running, cycling or any
other event
How do I get my event entry fees paid
to me?
- You will be sent the balance of entries received for your event,
minus our fee as detailed above, each month for entries received during
that month. Payment to you will leave our account by the 5th day of
the following month. This delay is to account for the delays the banks
impose in forwarding funds We will however endeavour to make payment
on 1st of the month.
